📝 What we collect
- What you submit: name, email, phone, company, website, and the details you type into our contact, assessment, gift, reseller, event, report and chat forms.
- Chat: our website assistant (“Max”) is an AI. What you type to it, and the last few messages, are sent with your details if you ask the team to follow up.
- Technical data: page visited, referring page, campaign (UTM) tags, a random visitor ID, and basic device/browser information.
- We do not knowingly collect information from children under 16.
🎯 How we use it
- To reply to your request, book a call, prepare your free review or assessment, process a gift claim or partner application.
- To deliver and support services you buy, and to keep records.
- To send occasional tips and offers only if you ticked the optional box.
- To understand which pages and offers work, and to keep the site secure.
✅ Consent (CASL & PIPEDA)
Every form asks you to tick a box before we contact you. Marketing emails have a separate, unticked box. Each message includes our name and contact details and a way to unsubscribe (reply “unsubscribe” or email info@genxwest.com). We act on opt-outs within 10 business days, and sooner where we can. You can withdraw consent at any time.
🤝 Who we share it with
We share data only with service providers that help us run the business, under their own privacy terms, and only as needed:
- a form-delivery service that emails your submission to our inbox;
- our customer-management (CRM) system, where leads and follow-up tasks are stored;
- our website hosting, email and analytics tools;
- professional advisers, or authorities when the law requires.
These providers may store data outside Canada (including the United States), where it may be accessible to courts and authorities under local law. We never sell your personal information.
🍪 Cookies & local storage
We use your browser’s storage for things like saving your assessment answers and showing a form-failure reminder. We do not use advertising cookies. You can clear this data in your browser settings.
🗄️ How long we keep it
Enquiries and leads: up to 24 months after our last contact, unless you become a client. Client records: for the length of the relationship plus the period required for tax and accounting law (generally 6 years). We then delete or anonymize them.
⚖️ Your rights
You may ask to access, correct or delete your personal information, withdraw consent, or ask questions about how we handle data. Email info@genxwest.com; we respond within 30 days. If we can’t resolve a concern you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
🛡️ Security
We use reasonable safeguards, including encrypted connections (HTTPS) and limited access. No system is perfectly secure, so please don’t send passwords, payment card numbers or sensitive health information through our forms or chat.
